Hay Farm Therapy Centre Equine Assisted Psychotherapy/Learning & Green Care (Therapeutic Care Farming) Terms and Conditions 2026
The terms and conditions forms part of the consent form. By signing, the client/organisation agrees to the terms and conditions. The terms and conditions may change at any time and client/organisations will be notified of changes via email.
CONFIDENTIALITY
Elaine Noble and therapists employed at Hay Farm Therapy Centre are professional registered members of the British Association for Counselling and Psychotherapy and subscribe to their codes of ethics. They also receive regular supervision to ensure that they are operating professionally and ethically.

Green Care staff are trained in therapeutic care farming and accredited by the Countryside Educational Visits Accreditation Scheme.
TIME BOUNDARIES
If you are here earlier than five minutes before a session please remain in the vehicle as there may be another session taking place. We plan around the time that you are given so we may be getting ready for your session.
Your next appointment is decided at the end of your session. Usually this is the following week at the same time, but there may be opportunity to change if needed. Sessions may run over. Please allow for half an hour over your time (individual private sessions only).
CLOTHING
Comfortable clothing (that you don’t mind getting dirty) is suitable, practical shoes in summer and waterproof boots in the winter as it can be muddy and wet. Please bring a waterproof jacket in case of rain and cold.

With Green Care days, as well as integrated Equine Therapy and Green Care days, please bring a bottle for water, a hat and sunscreen for the summer, insect repellent if skin is exposed (May-Sept), waterproof shoes, suitable warm clothing and a jacket.
If your Green Care session includes lunch time please bring a packed lunch.
CANCELLATION
We may cancel sessions. In case of severe weather we will notify clients or representatives via text message or WhatsApp the previous evening or the morning of the session.
In the case of an emergency at the farm or sickness the same applies and another appointment will be made.
CLIENT CANCELLATION
Private individual clients must give 24 hours notice if cancelling a session. Sessions cancelled on the day will have to pay the full amount.

Organisations that run school term times need to book one term ahead and must cancel a term in advance or they will be charged for the full term.

Other organisations that book ten week sessions for clients recognise that it is their responsibility to ensure those sessions are allocated. It is the organisation's responsibility to ensure continuity of client attendance. If clients don’t attend the organisation will be billed for the group session amount, including the absent client.
PAYMENT
Organisations should make full payment within two weeks of the invoice. If after 30 days the invoice has not been paid we may refuse to see the clients sent.

Individuals can pay before or after the session. Cash and bank transfer are accepted.
